How to Set Up Online Booking

Online booking lets patients book appointments directly through a public link or embedded widget, without needing to call the practice.

How to Get There

Navigate to the Online Booking page from the left sidebar under the scheduling section.

  1. Click Create Link
  2. Configure the link:
    • Name and description - what patients see
    • Clinicians - which clinicians are available through this link
    • Locations - which practice locations to offer
    • Appointment Types - which types patients can book
    • Usage limits - maximum number of bookings (optional)
    • Expiry date - when the link stops accepting bookings (optional)
  3. Save the link

Once created, you can:

  • Copy URL - share the booking link directly with patients
  • Embed Code - get HTML snippets to embed the booking widget on your website

Verification Settings

Click Verification Settings in the top bar to configure organisation-wide patient verification:

  • Require phone verification - patients must verify their phone number before booking
  • Require email verification - patients must verify their email address

These settings apply to all booking links.

The Booking Links tab shows all your links with:

  • Name and Slug - the link identifier
  • Status - Active or Inactive
  • Clinicians, Locations, Appointment Types - what the link offers
  • Uses - how many times the link has been used vs its limit
  • Conversion - the percentage of visits that result in a completed booking

Actions: View Details, Copy URL, Embed Code, Toggle Status.

Reserved Slots

The Reserved tab shows appointment holds: slots reserved during the booking process but not yet confirmed. Statuses include:

  • Active - patient is currently booking
  • Converted - booking completed successfully
  • Expired - hold timed out before completion
  • Payment Failed - payment did not go through
  • Slot Conflict - another booking took the slot

Tip: Monitor the Reserved tab to spot patterns in failed bookings, such as frequent payment failures or expired holds.nfigure Appointment Types
