Sending Messages to Patients from Filing

You can notify patients about their results or filed documents directly from the filing workflow. Messages can be sent via email, SMS, or in-app notification.

When to Send Messages

Common reasons to message a patient from filing:

  • Normal results that need no action - reassure the patient
  • Abnormal results - ask the patient to book a follow-up
  • Document filed - let the patient know a document is available in their portal
  • Action required - request the patient contacts the practice

Composing a Message

  1. Open the filing item (the patient must be matched first)
  2. In the actions panel, click Send Message
  3. The message composer opens with the patient's contact details pre-filled
  4. Choose a channel:
    • Email - sends to the patient's registered email address
    • SMS - sends to the patient's mobile number
    • In-app - sends a notification to the patient portal
  5. Write your message or select a quick template
  6. Click Send

Quick Templates

Your organisation can configure message templates under Settings > Filing > Messages. Templates provide pre-written text for common scenarios, saving time when filing large volumes of results.

Message Log

All messages sent from a filing item are recorded in the Message Log in the actions panel. You can see:

  • Message content
  • Channel used (email, SMS, in-app)
  • Timestamp
  • Delivery status

Messages are also recorded in the filing audit trail.

Tip: Use quick templates for routine normal results to speed up your filing workflow. You can customise templates to match your practice's communication style.
