Appointment Manage Links
A manage link is a unique URL for a specific appointment that lets the patient reschedule, cancel, or join a video call -- without logging into the portal.
What Patients Can Do
When a patient opens their manage link, they see a dashboard with their appointment details and available actions:
- Reschedule - move the appointment to a different date and time
- Cancel - cancel the appointment (with a confirmation step)
- Join Video - join the video call (for remote appointments, shown when the appointment is near)
- Complete Questionnaires - finish any outstanding pre-appointment forms
- View Attachments - download documents sent with the link
How to Send a Manage Link
There are several ways to get a manage link to a patient:
- Copy from the Appointments list - click the three-dot menu on an appointment and select Copy Manage Link
- Automatic notifications - manage links are included in booking confirmation and reminder notifications (if notification templates include the manage link merge field)
- Patient Portal - patients can access manage links from the Appointments tab by clicking Manage Appointment
Rescheduling via Manage Link
When a patient clicks Reschedule:
- They see their current appointment details
- They select a new date and time from available slots
- They can optionally filter to the same clinician
- They confirm the change
- The appointment is moved and the old slot is released
The system respects minimum notice periods and advance booking limits set on the appointment type.
Cancelling via Manage Link
When a patient clicks Cancel:
- They see the appointment they are about to cancel
- They confirm the cancellation
- The appointment is cancelled and the slot is released
- If the cancellation falls within the late cancellation window, this is noted
Cancellations cannot be undone -- the patient would need to book a new appointment.
Authentication
Manage links can be configured with optional verification:
- No verification - the link provides direct access (default)
- Date of birth - patient enters their DOB to verify identity
- OTP code - patient receives a verification code via SMS or email
Tip: Include the manage link merge field in your appointment notification templates so patients always have easy access to reschedule or cancel.
