How to Cancel an Appointment

Cancel a confirmed appointment when the patient or clinician can no longer attend. A reason is always required.

How to Cancel

  1. Open the appointment from the Appointments list or the Calendar
  2. Click Cancel Appointments from the actions menu
  3. Select or type a cancellation reason
  4. Click Cancel Appointment to confirm

Cancellation Reasons

Quick-pick options are provided:

  • Patient requested
  • Clinician unavailable
  • No show
  • Rescheduled
  • Other

You can also type a custom reason in the text field. A reason is required before you can proceed.

Late Cancellations

Each appointment type can have a cancellation window configured (see How to Configure Appointment Types). If the appointment is cancelled within this window, it may be flagged as a late cancellation.

Billing and Refunds

If the appointment has a linked invoice:

  • The dialog shows any linked invoices and their current status
  • Depending on the payment provider and cancellation timing, a refund may be issued automatically
  • Refund status is shown in a notification after cancellation

Important: Cancelling an appointment cannot be undone. If the patient wants to rebook, you will need to schedule a new appointment.n Appointment
