How to Configure Clinician Availability

The Availability view gives you a single, cross-clinician picture of your practice's bookable time — the recurring schedules, the individual sessions they generate, and the schedule blocks that mark time as unavailable. It's the place to review and monitor availability across the whole practice.

Where to find it

In the Reporting workspace, open Availability (under the Operational section). You can also open the calendar's Actions menu and choose Availability.

Note: This is a review and overview surface. Recurring schedules and one-off sessions are created and edited in their own editors (see the How to Manage Clinician Sessions guide), and time off is set up as described in the How to Manage Schedule Blocks guide.

The view is organised into four tabs.

Overview

At-a-glance figures for availability across your clinicians — a quick health check before you dig into the detail.

Schedules

Recurring availability patterns. Each row shows:

  • Name — the schedule label
  • Clinician — the assigned clinician
  • Location — the practice location, or Remote
  • Schedule — the time range and recurrence
  • Valid Period — when the schedule applies
  • Status — Active, Scheduled, or Archived

Filter the list by clinician, location, or status to focus it. Click a schedule to open it in the schedule editor.

Sessions

The individual dated sessions generated from your schedules — each row is a specific date and time. Filter by schedule name, clinician, or status (Scheduled, Cancelled, Completed).

From this tab you can:

  • Cancel Session — cancel a single dated session without affecting its recurring schedule.
  • Reinstate — restore a session you previously cancelled.

A session that has been changed from its schedule's pattern shows a (modified) badge.

Blocks

The schedule blocks that mark time as unavailable — lunch breaks, leave, meetings, holidays, and so on. For how to create and manage these, including recurring blocks, see the How to Manage Schedule Blocks guide.

Tip: Use the Sessions tab to spot cancellations or gaps across clinicians at a glance, then open the affected schedule or session to put it right.
