Tasks and Assignment in Filing

The filing workflow includes tools for assigning items to colleagues and creating follow-up tasks. This is useful when a result needs clinical review by a specific clinician, or when an action needs to be taken after filing.

Assigning a Filing Item

You can assign any filing item to a specific user or team:

  1. Open the filing item
  2. In the actions panel, find the Assignment section
  3. Select a user or team from the dropdown
  4. The item appears in their Assigned to Me bucket

Assignment is useful for routing items to the appropriate clinician - for example, sending a pathology result to the GP who ordered the test.

Creating Tasks

Tasks let you create structured follow-up actions linked to a filing item:

  1. Open the filing item (the patient must be matched first)
  2. In the actions panel, click Add Task
  3. Enter a description, set urgency, and assign to a user or team
  4. The task is created and linked to the filing item

Tasks appear in the filing item's task list and in the assignee's task inbox.

Task Statuses

Tasks created from filing follow the standard task lifecycle:

  • Pending - task has been created and assigned
  • Completed - task has been marked as done

Viewing Tasks

All tasks linked to a filing item are displayed in the Tasks section of the actions panel. You can see:

  • Task description
  • Assignee
  • Urgency level
  • Current status

Tip: Create a task before finalising if the result requires a follow-up action, such as booking a follow-up appointment or calling the patient. The task will remain active even after the item is filed.
