Filing Lab Results

When lab results arrive from a provider, they appear in the Filing page where they need to be matched to a patient and filed to their record.

How to Get There

Navigate to Filing from the main sidebar. Lab results appear alongside other inbound documents.

Page Layout

The filing page has three columns:

  1. Items list (left) - all items awaiting filing, filterable by type
  2. Document viewer (centre) - preview of the selected result with patient sidebar
  3. Actions panel (right) - matching, coding, and filing actions

Filtering Lab Results

Use the source type filter to show Lab Results only. Enable the Abnormal only checkbox to focus on results with values outside reference ranges.

Filing Buckets

Bucket Description
Action Required Unmatched or matched items needing review
Needs Matching Results not yet linked to a patient
Assigned to Me Items assigned to you
Filed Completed items

Each bucket shows a count of items.

Patient Matching

When a result arrives, the system attempts to auto-match it to a patient using name, date of birth, and NHS number:

  • High confidence - strong match on multiple fields. Click Match high-confidence suggestion to confirm.
  • Medium/Low confidence - partial match. Review before confirming.
  • Unmatched - no match found. Click Search for patient to find and match manually.

Review and Actions

After matching, you can:

  • Add clinical codes - select relevant SNOMED or ICD-10 codes to categorise the result
  • Create follow-up tasks - assign tasks to team members for further action
  • Review AI analysis - if AI is enabled, view suggested interpretations

Finalising

Click Finalise Filing to complete the process. This:

  • Links the result to the patient's record
  • Creates pathology observations and panels in the patient's clinical record
  • Updates the result status to Filed
  • Links to the relevant consultation or episode (if selected)

The Finalise Filing button is disabled until the result is matched to a patient.

Filing Status Lifecycle

Status Description
Unmatched Result received, not yet linked to a patient
Matched Patient identified, awaiting review and filing
Filed Filed to the patient's record

Tip: Check the Filing page regularly for new results. Results with abnormal flags should be reviewed promptly.
