Managing Clinician Profiles

Clinician profiles store professional details like qualifications, registration numbers, and role. They are separate from user accounts and must be linked to enable scheduling and clinical features.

How to Get There

Navigate to Settings > Clinicians.

Clinician Profiles vs User Accounts

A clinician profile holds professional information (name, role, registration body, qualifications). A user account is the login credential. Linking the two connects the clinician's calendar and enables features like:

  • Appearing in the appointment calendar
  • Being assigned to sessions and availability slots
  • Showing as the authoring clinician on consultations and documents

Adding a Clinician

  1. Click Add Clinician
  2. Fill in the details:
    • Full Name (required)
    • Role (required) - Doctor, General Practitioner, Nurse, Nurse Practitioner, Specialist, Therapist, Dentist, Hygienist, or Medical Assistant
    • Email
    • Registration Number - professional registration (e.g. GMC, NMC)
    • Professional Registration Body
    • Qualifications
  3. Click Save

Linking to a User Account

To link a clinician profile to a user account:

  1. Go to Settings > Users
  2. Click the three-dot menu on the user
  3. Select Link to Clinician
  4. Choose the clinician profile from the dropdown

Once linked, the user's account is connected to the clinician's calendar and clinical identity.

Editing and Deactivating

Click a clinician row to edit their details. Use the Active/Inactive toggle to deactivate clinicians who have left the practice - their historical data is preserved but they are hidden from selection lists.

Tip: Create the clinician profile first, then invite the user and link them. This ensures the clinician appears in scheduling before the user even accepts their invitation.
