How to Track Appointment Attendance

Track a patient's progress through their appointment using the attendance buttons in the appointment sidebar.

Attendance Statuses

There are four statuses, typically used in order:

Status Colour Meaning
Arrived Green Patient has arrived at the practice
Sent In Blue Patient has been called through to the clinician
Left Grey Patient has left the practice
DNA Red Patient did not attend

How to Record Attendance

  1. Open the appointment from the Appointments list, Calendar, or the Consulting Room in the left sidebar
  2. In the appointment details sidebar, find the Attendance section
  3. Click the appropriate status button
  4. The status is recorded with a timestamp

You can update the status as the patient moves through the appointment. Each change is logged in the attendance history.

Consulting Room

The Consulting Room panel in the left sidebar shows patients who have arrived for their appointment today. This gives clinicians a quick view of who is waiting.

When a patient is marked as Sent In, the clinician can begin the consultation directly from this panel.

Video Appointments

For video appointments, marking a patient as Sent In may prompt you to start the video consultation. The system tracks whether both the clinician and patient have joined the call.

DNA (Did Not Attend)

Marking a patient as DNA records that they failed to attend. This is visible in the appointment audit history and can be used for reporting.

Tip: You can filter the Appointments list by attendance status to quickly find patients who have arrived but not yet been seen.n Appointment
