How to Schedule an Appointment
Book an appointment for a patient by choosing the type, delivery mode, location, and time.
How to Get There
There are several ways to start booking:
- Calendar - click an empty slot to open the quick-book popover
- Command palette (Ctrl+K / Cmd+K) - search for "Book Appointment"
- Appointments list - use the Create action
Booking Steps
- Patient - search for and select an existing patient, or create a new one
- Event Type - choose from your active appointment types (these must be configured first)
- Location - select where the appointment takes place. For remote appointments, choose video or phone
- Select Time - pick an available slot from the calendar. Slots are based on clinician availability and the appointment type's scheduling rules
- Review - confirm the details and complete the booking
Once confirmed, the appointment status is set to Confirmed (or Pending Approval if the appointment type requires approval).
Delivery Modes
Depending on how the appointment type is configured, you may see:
- In-person - patient attends in the practice
- Video - a video link is generated and sent to the patient
- Phone - the clinician calls the patient
After Booking
- Notifications are sent to the patient based on the appointment type's notification settings
- If questionnaires are attached, the patient receives them automatically
- The appointment appears in the Calendar and the Appointments list
- The patient can manage their booking via their unique manage link
Tips
Tip: You can copy a patient's manage link from the Appointments list by clicking the three-dot menu and selecting Copy Manage Link.
