Inviting and Managing Users

The Users page lets you invite people to your practice, manage their accounts, and control access.

How to Get There

Navigate to Settings > Users.

Inviting a New User

  1. Click Invite User in the top bar
  2. Enter the user's details:
    • First name and Last name (required)
    • Email address (required)
    • Title (optional)
    • Role - select an RBAC role to assign
  3. Click Send Invitation

The system checks your licence availability before sending. If you have no spare licences, you will be prompted to add more before the invite can be sent.

How Invitations Work

  • Invitations are sent by email and expire after 7 days
  • Pending invitations appear in the Pending Invites section
  • For each pending invite, you can:
    • Resend the email (refreshes the 7-day expiry)
    • Copy the invite link to share manually
    • Send via SMS if the user doesn't have easy access to email
    • Cancel the invitation

Licence Status

The top of the Users page shows your licence usage: active users, pending invites, archived users, and available seats. A warning appears when you reach 80% of your licence limit.

Managing Existing Users

Click the three-dot menu on any user to:

  • Edit name - update the user's display name
  • Link to clinician - connect their account to a clinician profile (required for calendar and scheduling features)
  • View activity log - see their login and usage history
  • Change role - update their organisation role
  • Manage API keys - view and manage API keys created by this user
  • Archive user - deactivate their account (you must provide a reason). Archived users cannot sign in but their data is preserved
  • Reactivate - restore an archived user's access

Tip: Archived users do not count toward your licence limit. Archive rather than delete to preserve audit history.
