Viewing and Managing Documents

Patient documents are accessible from the patient sidebar and can be previewed, downloaded, edited, archived, and audited.

Finding Documents

Open a patient's record and look at the Documents tab in the patient sidebar. This shows recent documents with a View all documents link to see the full list.

Filtering

The document list supports:

  • Search - full-text search by document title
  • Source - filter by provider: All, Google Drive, SharePoint, or Supabase Storage
  • Type - filter by document type

The result count updates as you filter.

Document Details Sidebar

Click a document to open the details sidebar on the right. This shows:

  • Title, type, and SNOMED code
  • Created by and creation date
  • Last modified by and modification date
  • Source provider (Jump, Google Drive, or SharePoint)
  • Document ID
  • Linked consultation and linked referrals

Actions

The following actions are available from the details sidebar:

Action Description
Preview View the document content inline
Download Export as a Word document with branding and resolved merge fields
Edit Open in the editor (Jump) or in the external app (Google/SharePoint)
Send to HCP Share with a healthcare professional via email
Send to NHS GP Send via DocMan Connect to the patient's registered GP
History View the full audit trail of changes
Rename Change the document title
Archive Soft-delete the document (can be restored)
Delete Permanently remove the document

For Google Drive and SharePoint documents, an Open in external system action is also available.

Audit Trail

The audit trail records every event in the document's lifecycle:

  • Document created, updated, or renamed
  • Document archived or unarchived
  • Messages sent with the document attached

Each entry shows the user, timestamp, and details of the change.

Tip: Use the archive action instead of delete when you want to remove a document from the active list but keep it for records.
