Cover a colleague's tasks with a deputy

Last updated: 20 August 2026

What a deputy is

A deputy is a colleague or team who can see someone's open tasks while they are away. Tasks are never reassigned — the deputy gains visibility, not ownership, so nothing needs handing back when the person returns.

Setting a deputy

  1. Go to Settings → Users and open the person who will be away.
  2. In their details, choose a deputy — a single colleague or a whole team.
  3. Optionally set an end date so the cover expires on its own.

Anyone with user-management permission can set a deputy on someone's behalf — useful when a colleague is already off sick.

What the deputy sees

The deputy's Tasks view gains a "Deputising for" section with one row per person they cover (and an "All" row when covering more than one). Opening it shows that person's open tasks exactly as they would see them.

Ending cover

Cover ends automatically at the end date, or immediately when you set the deputy back to "No deputy". Each person can have one deputy at a time — pick a team if several people need visibility.
