How it works

From "send" to "saved to the record".

Four steps, in the order they happen. The practice composes once; the patient gets a secure link; the response comes back to the team; the record keeps the whole story.

Step 1

Compose once, from the record

Pick email or SMS, start from a template with merge fields, and add what the message needs to carry: documents, a questionnaire, a booking task, a video call link. Templates keep the wording consistent; merge fields personalise it per patient. Who can send is governed by role-based permissions.

Step 2

The patient gets a secure link, not an attachment

Nothing clinical travels as a plain attachment. The message carries an expiring secure link; the patient verifies with a one-time code sent to the contact details on their record, then sees the message and its tasks in the practice-branded portal. Per-patient preferences are honoured on every send: channel opt-outs and quiet hours included.

Step 3

Responses come back to the team, already triaged

When a questionnaire is submitted, inbox automation opens the conversation and sets its status and priority from rules you define. Answers you flag - a red-flag question, a score past a threshold - are named in a banner the moment the form arrives. The team works from shared views, assigns conversations to people or teams, and hands over with internal @mention notes.

Step 4

The record keeps the whole story

Every message, SMS and questionnaire sits on the patient's communication feed with its full delivery timeline: queued, sent, delivered, opened for email; delivery receipts for SMS. Questionnaire answers file into the clinical record as coded entries - only after a clinician reviews exactly what will be written. Nothing is he-said-she-said; it is all on the record.

Common questions

Questions, answered.

The five questions practices most often ask about patient communication. If yours isn't here, ask us on a demo call.

Yes. Clinical content never travels as a plain attachment: messages carry secure links that expire on a schedule you control, and the patient verifies their identity with a one-time code sent to the email or mobile on their record before anything opens. Portal activity and every send are logged for audit.
